A comprehensive guide to features in PPTX Builder.

**PPTX Builder** is a modern self-service reporting platform where users can create online and offline reports directly from their tabulated data.

# General Set-Up

PPTX Builder uses PowerPoint templates to generate new reports. It does this by populating `Placeholders` found on `Slide layouts`. The look and feel of your reports are therefore determined by the formatting choices in the hands of the template designer. This speeds the report development process while encouraging visual consistency in slides created from the same template.

There are three things that the platform is looking for when you import a new PowerPoint template:

1. Somewhere to place the chart
2. Somewhere to place the “question” text
3. Somewhere to place the “base” text

When working with an existing `Slide master`, we recommend first creating a duplicate and the deleting any of the slides that aren’t set up for charting – then moving that slide master to the top of the list.

The aim is to ensure that the first `Slide layout` that the platform finds in your template is one that is set up for charting.

Below you can see here that my 1st `Slide master` only contains `Slide layouts` that are set up with charting in mind.

# Setting colours

The colours used in your charts, both in the platform and the PowerPoint export, are determined within the `Slide Master` and will most likely already be set for you. But if you ever need to change them:

# Setting fonts for chart items

You can choose from a range of font types within the platform for legend, data labels, value axis and category axis, but sometimes you may want to use a custom font directly from your PowerPoint. To do this you would have `Auto` selected in the platform and we will use the fonts we find attached to the slide master:

# Adding Tags

`Tags` provide a useful way to map your question text and base text to a given placeholder in a PowerPoint template. PPTX Builder provides 4 built-in `Tags`, these include:

1. `{base}`
2. `{question}`
3. `{table_name}`
4. `{statistics}`

To use these tags, simply add all, some or none of the tags to your desired `Text placeholder`. You can add them into the same or separate `Text placeholders`. 

The platform will automatically populate the given `Text placeholder` with the information associated to each tag **IF** found.

It is important to ensure you are not using a `Footer placeholder`. And of course, you need to ensure there is at least 1 `Chart placeholder` or `Content placeholder` (no tags needed for this) For question and base text, the tool is going to use whatever font size, color, type etc. is set in the placeholder


# Other Useful Notes

• You can create multiple `Slide Masters`**,** each using different colours, fonts etc.

• We recommend renaming `Slide Masters` and individual `Slide Layouts` to help you navigate through these in the platform.

• Always close your `Slide Master` before saving and uploading to the platform.

• Any actual slides that are in your PowerPoint will appear before the charts you export from the platform. We like to delete all slides other than the title slide.

# Uploading data

PPTX Builder reads tabulated data directly from Excel and other file formats. To upload new data:

1. Click on your email address in the top right-hand corner of the browser and click on `Upload data` in the drop-down.
2. `Choose your file` by clicking on the bucket or `drag and drop` your file into it.

# Changing Column Values

You can change the data points you are visualizing in your chart by selecting of deselecting the column or row values you want to turn on or off. We will start with Column Values:

1. Select `Data Settings` from the menu on the right-hand side of your screen 
2. Navigate to the `Column Values` section and click on the down arrow 
3. Select/deselect the columns you want to include in your chart 
4. You can turn sub-categories on and off by clicking on the arrow next to a given check-box and making further 
5. You can also deselect columns by clicking on the **`x`** next to the given label

# Changing Row Values

1. Select `Data settings` from the menu on the right-hand side of your screen 
2. Navigate to the `Row Values` section and click on the down arrow 
3. Select/deselect the rows (or answer codes) you want to include/exclude in your chart 
4. You can also deselect rows by clicking on the `x` next to the given label

# Switch Row/Column

To show your columns as the category axis and your rows as the legend, navigate to data settings and check `Switch Row/Column`.

# Show/Hide Percentage Sign

To select whether the percentage sign is show or hidden, navigate to `Data Settings` and check or uncheck `Hide percentage sign`.

# Advanced Data Sorting

It is possible to sort the rows within your data by any given column. You can choose whether you’d like to sort the rows by ascending or descending:

1. Within `Data Settings` select the `Sort by` drop down and select the column you would like to sort the data by.
2. You can choose from `ascending` or `descending` to the right of the drop down.
3. To revert to normal position, select `None` from the `Sort by` drop down.

# Change the Number of Decimal Places

To increase the number of decimal places, navigate to `Data Settings` and use the `Decimal places` feature at the bottom of the customization panel.

Use the up and down arrows, or simply type in a number:

# Chart Types

**Bar:** Similar to column charts, but the number of bars can be relatively large. Compared with the column chart, the positions of its two axes are changed. 

**Column:** Column charts use vertical columns to show numerical comparisons between categories, and the number of columns should not be too large 

**Line:** A line chart is used to show the change of data over a continuous time interval or time span. 

**Doughnut:** Is a variation on a Pie chart except it has a round hole in the center which makes it look like a donut. 

**Pie:** Are widely used in various fields to represent the proportion of different classifications, and to compare various classifications by the arc. 

**Stacked Column:** A stacked column chart is a basic Excel chart type to allow part-to-whole comparisons over time, or across categories. 

**Stacked Bar:** A stacked bar graph is a chart that uses bars to show comparisons between categories of data, but with ability to break down and compare parts of a whole. 

**Stacked Column (%):** Data series are stacked one on top of the other in vertical columns. Stacked column charts can show change over time because it's easy to compare total column lengths. 

**Stacked Bar (%):** A chart that uses bars to show comparisons between categories of data, but with ability to break down and compare parts of a whole. 

**Data Table:** Any display of information in tabular form, with rows and/or columns named.


# Changing Chart Types

1. Navigate to “Chart Settings” from the menu on the right-hand side of your screen.
2. Once you have clicked on layout settings, Select “Chart Type” and choose from our 10 ways to visualize your data


# Customizing Legends

To modify the legend, click on the `Legend` drop down from the `Chart Settings` panel.\
Here you can:

* Reposition the legend
* Change the font type
* Choose whether the font is bold
* Change font size
* Change font color


# Customizing Data Labels

To modify the data labels, click on the `Data Labels` drop down from the `Chart Settings` panel.\
Here you can:

* Reposition the data labels
* Change the font type
* Choose whether the font is bold
* Change font size
* Change font color


# Customizing Value Axis

To modify the value axis, click on the “**Value Axis**” drop down from the “**Chart Settings**” panel.\
Here you can:

* Reposition the value axis
* Change the font type
* Choose whether the font is bold
* Change font size
* Change the font color
* Change the maximum for the axis scale

# Customizing Category Axis

To modify the category axis, click on the “Category Axis” drop down from the “Chart Settings” panel.\
Here you can:

* Change the font type
* Choose whether the font is bold
* Change font size
* Change the font color

# Turning Grid Lines On or Off

To turn Grid line on and off, Click on the `Gridlines` drop down from the `Chart Settings` panel.

# Statistical Analysis

### What is significance testing?

The purpose of performing a significance test can vary but the most common purpose is to identify differences between subgroups or subgroup’s results compared to the totals in the survey. 

There are many different types of significance testing. PPTX Builder uses `Z-Test` on row/column proportions. 

It can also for instance be performed between brands, target groups and time periods. To enable significance test in a chart, select Statistical Analysis on the right hand pane and enable significance test, as shown in the image below

If you want to perform significance testing on your data you'll need to purchase the `sigtesting` feature.

### Base limit

Set the base size limit – no test will be performed if the base size is too low.

### Test Between

Decide if you want to perform the test on Columns or Rows.

### Analysis Types

Choose from 4 significance analysis types:

1. **All vs All:** Tests every group against the other groups
2. **Control Group:** Tests each of the test groups against the control group
3. **Next Data Point:** Tests each group against the next group
4. **Previous Data Point:** Tests each group against the previous group

### Significance Confidence

As with everything else, we can never be 100% sure of anything. Confidence levels are a way of determining just how “sure” we are that we are making a difference. The higher the confidence level we set, the more positive we are that these differences are worth paying attention to. 

Choose from 3 level of confidence:

* 90% confidence level, there is a 10% chance that the difference we are seeing is just the result of “noise” in the numbers.
* 95% confidence level, there is a 5% chance that the difference we are seeing is just the result of “noise” in the numbers.
* 99% confidence level, there is a 1% chance that the difference we are seeing is just the result of “noise” in the numbers.

# Upload PowerPoint Template in Layout Settings

1. Navigate to `Layout settings` from the menu on the right-hand side of your screen.
2. Once you have clicked on layout settings, select `Import theme` from the customization panel.
3. Navigate to the folder where you have saved your already prepared template. Select the file you want to use and select `Open`.

Your template will then load into the platform, ready for use.

# Choosing Layouts

Within your PowerPoint template, it is likely that you will have multiple `layout` options available to you. You can choose from theses different layouts by:

1. Selecting `Layout settings` from the menu on the right-hand side of your screen.
2. Choosing from the different layouts you have available to you

As you do this, you will notice that the position and/or size of the objects in the slide you are working on change in the viewer.

# Reverting to Default Theme

If you have imported a new theme, you may decide that you want to revert to your default template. Within layout settings, tick `Default blank theme` to revert to your original default PowerPoint template.

# Apply Settings To...

You can apply your chosen data, chart and layout settings to all or a range of slides at once with our “Apply Settings To…” feature. 

Set up one slide using the data, chart, and layout settings that you want to apply to a number of other slides. 

1. Click `Apply Settings To…`
2. Choose between applying your current settings to all other slides in your project OR a range of slides. 
3. If you choose a range of slides, you will need to enter the slide numbers that you want the settings to be applied to in the text box, for example 1,3,5-12.
4. `Filter Rows`: Use the Filter Rows feature to remove or add data points from all or a range of slides at once.

# Filter Rows

Use the Filter Rows feature to remove or add data points from all or a range of slides at once. 

**Do Not Apply:** This is our default setting. If you leave the drop-down selection as “Do Not Apply”, we will not remove or add any rows from the slides you are applying settings to. 

**By Name:** allows you to remove or add rows that contain exactly the same text. 

*Example:* 

* *I have a “Don’t know” option in slide 1 and 2, but not in slide 3.*
* *On slide 1, I remove the “Don’t know” option and apply the settings using “By Name” to slides 2 and 3.*
* *“Don’t know” will be removed from slide 2 and nothing will happen on slide 3.*

**By Position:** allows you to remove or add rows based on their location in the chart. 

*Example:* 

* *I have a “Don’t know” option in slide 1, and it is the 5th response option in the chart.* 
* *If I apply the settings using “By Position” to slide 2 and 3, the 5th response option will be removed, regardless of whether it says “Don’t Know” or something completely different.*

# Delete Slides

The platform will create 1 slide for each table within your data-set – e.g. if you import a file containing 25 questions, the tool will create 25 slides, each with 1 chart.

To delete any slides that you do not want to include as part of your PowerPoint export:

1. Make sure you are viewing the slide you want to delete. In the example, I want to delete slide 3, so I have slide 3 selected.
2. Select the `Delete` button in the bottom left-hand corner of the browser and your slide will delete.

# Duplicate Slides

The platform will create 1 slide for each table within your data-set – e.g. if you import a file containing 25 questions, the tool will create 25 slides, each with 1 chart.

You may want to show the same question/table more than once, perhaps by 2 different demographics.

To duplicate any slides:

1. Make sure you are viewing the slide you want to duplicate. In the example, I want to duplicate slide 3, so I have slide 3 selected.
2. Hit the `Duplicate` button in the bottom left-hand corner of the browser.

# Undo

If you have changed your mind about a slide that you have duplicated or deleted, simply hit the `Undo` button in the bottom left-hand corner of the browser.

# Save a Project

To save a project, click on the `Save project` button from the menu on the right-hand side.

By default, the project will take on the same name as the tables you imported to the platform, but you will have an opportunity to amend the name before saving:

# Navigating to Existing Projects

To navigate to projects you have saved previously, click on your user name in the top-right corner and select `Projects` from the drop-down menu.

A new page will open showing a list of all of your saved projects.

# Duplicate a Project

A duplicated project will retain all of the selections that were made on the saved project, including the PowerPoint template that is being used for export.

To duplicate a project, click on the `Duplicate` button that appears on the same row as the project you want to make a copy of. The new version will automatically appear at the top of your project list.

# Rename a project

To rename a project, click on the `Rename` button that appears on the same row.

A dialogue box will then open where you can type in the new name of your project.

# Switch data

A `Switch data` feature allows a user to replace the data in a given project with an updated dataset. This is frequently used to update a project that has been created using interim data, for multi-country studies and for trackers, amongst other project types.

Click on `Switch Data` and a window will open for you to select the new data file.

The file you select must have the same number of tables and column groups, e.g. if you add another question the file will not be compatible.

You can, however, have additional columns within a column group – e.g. you may have a column group called waves and it only had two columns in the original project (wave 1 and wave 2), but now you have a third (wave 3).

You can also have additional rows within a table, e.g. maybe your list of brands in an awareness question is now longer.

When you open your file, the project will load with the new data, but all of the selections such as chart type, columns shown, layout selections etc. will be retained.

# Delete a project

To delete a project, click on the `Delete` button that appears on the same row.

You will be asked to confirm that you would like to delete the project. If you click `OK` the project will be removed.

# Export

To export your branded, editable report, click on the `Download PPTX` button from the menu on the right-hand side. Your PowerPoint will generate and download.

# Continue to customize

Once you have exported your PowerPoint, all objects (including charts) remain editable. You will also have access to all of the layouts that exist in the PowerPoint template you have exported to.

# Profile

To update your name:

1. Click on your email address in the top right-hand corner of the browser and click on **`Account Settings`** in the drop-down.
2. By default the page will open on **`Profile`**.
3. Change your name and hit **`Update`**.

# Password & Security

## Change Password

1. Click on your email address in the top right-hand corner of the browser and click on **`Account Settings`** in the drop-down
2. Navigate to **`Password & Security`** and click on the drop-down for **`Password`**.
3. Input the new information and select **`Change password`**.

## Two Factor Authentication

1. Click on your email address in the top right-hand corner of the browser and click on **`Account Settings`** in the drop-down
2. Navigate to **`Password & Security`** and click on the drop-down for **`Two Factor Authentication`**. Check the tick box to enable or disable it.
3. If enabled, you will be prompted to provide a 6 digit code to verify your identity. This code will be emailed to you.

# Template Settings

# Chart settings

To save time, you could set the default properties (data labels, legend etc) for all or given chart types. These settings are trigged when selecting a chart from the Data Settings pane.

1. Click on your email address in the top right-hand corner of the browser and click on `Account Settings` in the drop-down
2. Navigate to `Default Chart Settings` and select the chart type you want to set the defaults for. 
3. Make your updates and select `Save`. Next time you use the given chart type we will automatically use the chart default settings.

# How do I manually remove/add significance arrows in the report?

How to manually control sig arrows:

1. Double click the `Data Label` you want to edit to open the `Format Data Label` pane
2. Select the `Labels Option`
3. Expand the `Number` option
4. To remove the sig arrows set `Type` to `0% ""` .
5. To add the sig arrows set `Type` to `0% ▲` or `0% ▼`

# Service Level Agreement

### **Uptime**

PPTX Builder shall use commercially reasonable efforts to make the PPTX Builder platform available 24 hours a day, 7 days a week, except for: (a) planned downtime (of which you are given notice), (b) any unavailability caused by circumstances beyond PPTX Builder 's reasonable control, including without limitation, acts of God, acts of government, floods, fires, earthquakes, civil unrest, acts of terror, pandemics or other health issues, strikes or other labour problems (other than those involving PPTX Builder employees), problems with vendors Heroku and AWS, Internet service provider failures or delays, or denial of service attacks.

### **Support response time**

PPTX Builder will provide licensed clients with standard support Monday to Friday, and between the hours of 9am to 5pm Greenwich Mean Time. PPTX Builder will reply to emails within 24 hours of the email being received during business hours.


# Terms and Conditions

**About PPTX Builder**

This agreement (“Agreement”) is a binding legal agreement between you (and the organization (as defined in this agreement) (“Client”) which you represent, if you are using the software (or acquiring rights to use software) for or on behalf of that organization) (collectively, client, you, your) and: PPTX Builder (operated under a general partnership in the UNITED KINGDOM (UTR: 1327295563)) (the owners of the platform, we, us, our).

**Acceptance of terms**

Your access to and use of PPTX Builder ("the Platform") is subject exclusively to these Terms and Conditions. You will not use the Platform for any purpose that is unlawful or prohibited by these Terms and Conditions. If you do not accept these Terms and Conditions, you must immediately stop using PPTX Builder.

**Platform license fee**

Access to PPTX Builder platform is subject to a license fee. The license fee is according to agreement between the owners of the Platform and the client. The platform fee payment is according to a schedule as agreed by the owners of the Platform and the client. Client will be issued an invoice manually via email. Client will pay within 30 days.

**API Usage fee:**

API Clients will pay for the number of slides in each API request sent to and rendered in PPTX Builder. Usage costs are as agreed by the owners of the Platform and the client. The API usage fee payment is according to a schedule as agreed by the owners of the Platform and the client. Client will be issued an invoice manually via email. Client will pay within 30 days.

**QA Licenses:**

Client will be granted a maximum of 5 QA licenses at no extra cost. QA license will be used for testing purposes only. Any calls made to the API for QA purposes will be at no cost to Client.

**Changes in pricing**

PPTX Builder reserves the right to change the platform and API pricing. Any platform or API fees that has already been agreed in a contract will not change.&#x20;

**License Grant; Restrictions**

The owners of the Platform grants to Client and their users, both internal and external, which is non transferable and exclusive, to use PPTX Builder via the API. Clients may not reverse engineer, reverse compile, sublicense, rent, lease, disclose or assign the Platform and may not use, copy, modify, merge or transfer copies of the Platform except as expressly provided in this Agreement.  No other licenses are granted under this Agreement except those expressly contained in this Agreement.

**Ownership Rights:**

PPTX Builder agrees and acknowledges that Client and its own client users have exclusive, unlimited ownership rights to any data transmitted to PPTX Builder for the purposes of manipulation by the software and to all work product outputs produced through the PPTX Builder software. In addition, Client shall be the sole, exclusive, unlimited owner for any software developed internally by the Client on its side that is required to access the API. PPTX Builder is the sole, exclusive, unlimited owner of the software and anything developed internally by PPTX Builder.

**Branding**

PPTX Builder shall not use Client’s brand or name without prior written consent from Client. The same limitation shall apply to Client’s client users, except that consent for usage of a Client’s client name or brand rests solely with that respective entity.

**Advice**

The contents of the Platform do not constitute advice and should not be relied upon in making or refraining from making, any decision.

**Changes to PPTX Builder**

The features and functions PPTX Builder, including the API, may change over time. PPTX Builder will make commercially reasonable efforts to avoid making changes to the PPTX Builder Platform that are not backwards compatible, but if any such changes become necessary, we will use reasonable efforts to notify the client thirty (30) days prior to implementing those changes and PPTX Builder will work with client to ensure that the API connection is maintained on its end in a reasonable way.

**Security**

PPTX Builder is hosted by and operated through Heroku, a cloud based application platform. Heroku uses Amazon’s secure data centres within the EAA region (Dublin, Ireland to be specific) and utilize the Amazon Web Service (AWS) technology such as AWS Shield (protection service that safeguards web applications).

PPTX Builder website and application uses Secure Sockets Layer (SSL) technology to protects user information and uploaded data. This uses both server authentication and data encryption, ensuring that user data is safe, secure, and available only to authorized persons.

Amazon’s data centre operations have been accredited under:

·        ISO 27001\
·        SOC 1 and SOC 2/SSAE 16/ISAE 3402 (Previously SAS 70 Type II)\
·        PCI Level 1\
·        FISMA Moderate\
·        Sarbanes-Oxley (SOX)

**Database and Passwords**

PPTX Builder uses a Heroku’s Postgres database. Passwords are encrypted before they are stored in our database. To see what kind of data we gather and what we do with it, please read our [privacy policy](https://www.pptxbuilder.com/privacy).

**Disclaimers and limitation of liability**

The Platform is provided on an "AS IS" and "AS AVAILABLE" basis without any representation or endorsement made and without warranty of any kind whether express or implied, including but not limited to the implied warranties of satisfactory quality, fitness for a particular purpose, non-infringement, compatibility, security and accuracy. We will not be liable for any indirect or consequential loss or damage whatever (including without limitation loss of business, opportunity, data, profits) arising out of or in connection with the use of the Platform.

**Indemnity**

You agree to indemnify and hold the Platform owners harmless from and against all liabilities, legal fees, damages, losses, costs and other expenses in relation to any claims or actions brought against us arising out of any breach by you of these Terms and Conditions or other liabilities arising out of your use of this Platform.

**Termination**

Either party may terminate this Agreement for a material breach of this Agreement provided that the party in default has not cured such breach within thirty (30) days of receiving written notice from the other party.

**Severance**

If any of these Terms and Conditions should be determined to be invalid, illegal or unenforceable for any reason by any court of competent jurisdiction then such Term or Condition shall be severed, and the remaining Terms and Conditions shall survive and remain in full force and effect and continue to be binding and enforceable.

**Governing law**

These Terms and Conditions shall be governed by and construed in accordance with the law of England and you hereby submit to the exclusive jurisdiction of the English courts.
